ve had to cancel appointments a few times while working with US clients and colleagues, and I’ve found that a mix of prompt communication and clarity goes a long way.
For me, email works best for formal or non-urgent cancellations, while a quick phone call or text is better if it’s last-minute. I usually keep it short and professional: apologize for the inconvenience, give a brief reason (nothing too personal), and suggest a reschedule if possible. For example:
"I’m really sorry, but I need to cancel our meeting tomorrow due to an unexpected client matter. Would you be available to reschedule later this week?"
